Vanesa Class School of Dance is committed to protecting you and your dependents personal information. We are committed to providing a safe environment for all our customers, employees, casual and freelance workers and everybody who comes into contact with us. This privacy statement relates to the use of any personal information provided to us on line or via application forms, telephone, e mail exchange, letters or correspondence. Whenever you provide such information, we are legally obliged to use your information in line with current legislation concerning the protection of personal information, including the Data Protection Act 1998 and the General Data protection Regulations.

While Vanessa Class School of Dance avoid sharing data with third parties, sometimes data is shared in accordance with our business practices. This will always be consensual with the data subject or parent/guardian. This data will be held securely and only be retained for as long as necessary or until you leave the school.

We at Vanessa Class School of Dance are a data controller and we currently collect and process the following information: We rely on individual consent in order to process their data. When you join the Vanessa Class School of Dance we may collect and store personal information about you. This will be filled in either on a contact from the website or a paper application form to join the school. This can consist of information such as

Full address of parent/guardian

Mobile number of parent/guardian

E mail address of parent/guardian

Age of child

School year of child 

We do collect some special categories of personal data which is limited to details of any medical condition or allergies. This is to look after the best interest of the children

 By giving us your details you enable us to provide the service you have selected. 

Social Media

What’s App : We at Vanessa Class School of Dance will have groups for various classes. We take privacy and protection of data very seriously. Our what’s app groups are private and closed. If you want to receive information on your child classes and activities then we require you to join your class what’s app group and express your consent to be added to the group. These groups are closed and private and are restricted to only staff, parents and carers of children and is password protected using end to end encryption. Nothing is to be shared with any third party or will be showed outside the group. If anyone is found to be breaching these guidelines they will be removed from the what’s app group.

Facebook:  We at Vanessa Class school of Dance have a private Facebook group page. We take privacy and protection of data very seriously. Our Facebook group page is private and not to be shared. 

Instagram: We at Vanessa Class school of Dance have a private Instagram account. We take privacy and protection of data very seriously. Our Instagram page is private and not to be shared.

Photography and Videography: Should you wish to take photos of your child’s performance and upload them onto social media, please refrain from including other children unless you have consent from their parent or guardian.

From time to time we may wish to advertise our dance school by uploading photos and videos onto our Website/Facebook/Instagram.  If you are happy for your child to be used in promotional materials online then please provide us with your express consent by ticking the relevant boxes on our application form.

Brochures and Leaflets: Children performing in events, camps and shows may have their names printed in programs, end of show credits and class attendance registers. If you are happy for your child’s name to appear in writing then please provide us with your express consent by ticking the relevant boxes on our application form.

Service providers

All staff fully understand the data protection policy for Vanessa Class School of Dance and understand any details shared with any teachers, assistants or helpers, engaged by the business, is to provide a service that have been asked for and for the safety of any children. Any staff have given their personal details such as name, address, phone number and bank details are for payments for their services. All staff/volunteers understand how we expect them to comply with GDPR.

How we get the information and why we have it

All the personal information we process is provided to us directly by you for one of the following reasons:

  • To  keep children safe 
  • To provide and operate services
  • To have emergency contact numbers
  • Any  allergies or medical conditions
  • Attendance charts
  • Keeping you up to date and reporting to you
  • Fees and payments
  • Updating on events and shows
  • Updating on extra rehearsals
  • All staff members DBS checked,  and responsible for looking after your children

What we do with the information we have

We use the information that you have given us in order to:

Be able to access parent’s numbers or contacts in an emergency.

We may share this information with any teachers needing to get hold of parent/guardian/ family in an emergency situation.

When sending letters out we will use your postal address for the delivery service.

We use names for class attendance registers and invoicing fees.

We use names for programs, and show credits when performing.

We create class what’s app groups for communication for class information where each group will be restricted to only staff/parents/carers of children in those classes and is protected with passcodes and using end to end encryption.

We may contact you for reasons related to the activity you signed up for, e.g. details/changes of classes and communication of payment of fees.

How we store your information 

Your information is securely stored and filed away in a locked cabinet in a private office and also on an IOS device with a password and encryption

We have security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way.

We keep registration forms until you leave the school. We will then dispose of your information by shredding any paperwork or deleting files from any devices. Data will not be kept longer than necessary.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
